Program Imports & Updates

Program Importing
Importing of programs is now available under Programs->Import. Using a CSV file you can import new programs into ampEducator.
Program Credits 
Up until now for each program course you had to define a marking weight which ampEducator used to calculate the student program average. However courses are already weighted by credits and adding weights on top of this is an unnecessary complication. Therefore we've removed course weights and adjusted the application so that program averages are weighted using course credits.
Program Elective Courses
We've added an additional parameter to program components called 'Required Component Credits'. This allows you to set the number of credits a student must earn for each component in order to complete it. Setting the number of required credits lower than then number of courses in that component allows students to select between the courses in that component creating elective courses.
Student Program View Updated
The program view under Students as well as the Student Portal has been updated to reflect the changes in programs. The number of student credits earned is now shown and each component displays the number of required credits and the number of credits earned.

The student program view now displays earned and required credits for each component.
Student Program Uncomplete
Users now have the option to uncomplete a student program. Many users have requested this option in situations where a student program was completed prematurely or with errors.

Attendance Importing
Import of student attendance is now available under Student->Imports. Using a CSV file you can add new attendance or update existing attendance for students.
Attendance UI Updated
The user interface for entering and viewing student attendance has been updated and improved. On the course attendance page you can now directly indicate whether a student was late or had an authorised absence without going into the attendance details. The attendance details page has also been revamped allowing you to quickly see the entire student attendance history and make any changes quickly and easily. Please note there is now an additional option under courses called 'Attendance Type'. Selecting 'Standard' and 'Hourly' now allows you to switch whether attendance is entered using Present/Absent or entered using hours.
The updated attendance entry page allowing you to indicate late and authorised absences.

The attendance details page now lets you see and update all attendance for a student.
Attendance Override Available
On the attendance details page you will also find the attendance totals for the student with the ability to override Present, Absent, Late and Course Hours.

You can now override student attendance totals from the attendance details page.

Financial Transaction Importing
You can now import financial transaction data into ampEducator under Students->Import->Import Student Financial Transactions. This is part of our ongoing process to make import and export of data and simple as possible.
Updates to Student Financials
We've made a lot of changes to student financials which are outlined below.
New Receipt Format
New Statement Format
  • Credit / Debit Columns
    We've replaced the single 'Amount' column in transactions with credit and debit columns making the transactions easier to read and bringing them into line with standard accounting practices. There is no extra work for the user as the application will automatically determine which transactions belong where.
  • Statement / Receipt Formats
    We've updated the format of statements and for receipts making them more suitable for emailing. We've had to remove the ability to assign a PDF template background. Statements can also now be automatically generated by month instead of date range.
  • Statement / Receipt Emailing
    Receipts can be emailed directly to the student from the Student->Financial page while statements can be setup to be automatically emailed to students (with a balance) at the beginning of each month.
  • Charge Fees Options
    The ability to manually charge fees for course, programs, academic years and other miscellaneous items is now available.
  • Receive Funding
    We've added a special function for receiving funding instead of having it combined with the payment page.
  • Refund Fees (Drop Course / Drop Program)
    There is now an option to automatically refund course and program fees when students are withdrawn from them.
  • Student Payment Plans & Current Payment Plan Balance
    The student payment plan page has been updated slightly to make it easier to use. We've also added current payment plan balance in the student summary when viewing a student as well as a column in the student list. 
  • Student Funding & Current Funding Balance
    The student funding plan has been updated and simplified. We've also added current funding balance in the student summary when viewing a student as well as a column in the student list.
  • Financial Accounts 
    We've removed financial groups altogether. You can now identify a financial account type as 'Tuition', 'Materials', 'Registration' or 'Other'. The information from financial groups was combined with existing financial accounts.
  • Student Portal
    Students now have the ability to generate their own receipts and statements from within the student portal.

Import & Update Student Courses and Grades
You can now easily import and update student course enrollment and student grades into ampEducator with our new importing tool. The tools allows you to enroll students into existing courses, update their course status if they are already enrolled (i.e. withdrawn, completed, incomplete) and update their grades and final marks. Like with our other importing tools you can test your import before committing to it. For more details please see the import page under Student -> Imports -> Import Student Course and Grades.
